A ChatGPT project is a folder for one piece of ongoing work: its chats, its files and its own instructions in one place, so you stop re-explaining the same background every time you open a new chat. Create one for each client, job, course or recurring task, put your standing instructions and reference files in it, and save the answers you accept as project sources. To keep a single conversation, share a link or save it as a PDF; to keep everything, request a full export from Settings.
The reason this matters is simple. Most people's ChatGPT history is a long, unsorted list. The good answer from three weeks ago is somewhere in it, nobody can find it, and the work starts from zero again. Projects fix that, and they are available on every plan, including Free.
Projects vs ordinary chats
| Ordinary chat | Project | |
|---|---|---|
| Context | starts from nothing each time | every chat in it sees the same files and instructions |
| Instructions | your global custom instructions | its own instructions, which override the global ones inside the project |
| Files | uploaded per chat | stored once, used by every chat in the project |
| Finding old work | scroll the history | all related chats in one place |
| Sharing | one chat by link | the whole project with chosen people |
Use a plain chat for one-off questions. Use a project for anything you will come back to more than twice.
Set up a project in five minutes
According to OpenAI's help page, the steps are:
- Create it. Select New project in the sidebar, give it a name, an icon and a colour.
- Add instructions. Open the project menu (•••), choose Project settings and write the standing instructions. These apply only inside this project.
- Add files. Upload PDFs, spreadsheets, documents or images, or paste text. Every chat in the project can use them.
- Move old chats in. Drag an existing chat onto the project, or use Move to project from the chat's menu. The chat then inherits the project's instructions and files. Chats created with a custom GPT cannot be moved.
- Start working. New chats you open inside the project automatically use all of the above.
You can also add Google Drive files or folders and Slack channels as project sources by pasting their links, after connecting the app.
What to put in the instructions
Project instructions are where the five-part brief from how to write a good prompt pays off, because you write it once instead of every time. A useful set covers:
- Who you are and who the work is for. "I run a small bakery. Most customers are local families."
- Tone and format. "Friendly, plain English, short paragraphs, no exclamation marks."
- Facts it should always use. Prices, opening hours, your service list, names to spell correctly.
- What to avoid. "Never promise delivery times. Never mention competitors."
- How to work. "Ask up to three questions before any long piece of writing."
Keep it short enough to read in a minute. Long instruction lists tend to get followed less reliably than a few clear ones.
Five projects worth creating this week
| Project | Instructions | Files to add |
| One per client (freelancers) | the client's tone, audience, do's and don'ts | brief, brand guide, past work they liked |
| Customer replies (small business) | your tone, refund and delivery rules | FAQ, price list, policies |
| Job search | your target roles, what to emphasise | CV, three job ads, cover letter you liked |
| A course or exam | your level, how you want things explained | syllabus, notes, past papers |
| Household admin | your budget priorities | insurance documents, contracts, bills |
The client version is where projects turn into money. A freelancer who keeps one project per client stops spending the first ten minutes of every job re-explaining the brief, and the output stays consistent from week to week, which is exactly what clients pay for. If you are building that kind of side income, the prompts in ChatGPT prompts to make money fit naturally inside client projects.
File limits by plan
From OpenAI's help page on projects:
| Plan | Files per project | People you can share a project with |
| Free | up to 5 | up to 5 |
| Go and Plus | up to 25 | up to 10 |
| Pro | up to 40 | up to 100 |
| Business, Enterprise, Edu | up to 40 | up to 100 per workspace project |
For most personal projects, five files are enough to start. If you keep hitting the limit, that is a reasonable signal to upgrade, and ChatGPT Go vs Plus explains what else changes.
Save the answers you accept
This is the single most useful habit, and OpenAI has built it into projects. When ChatGPT produces something you want to keep, a summary, a decision, a final draft, open the message menu and choose Add to project sources. It becomes a file in the project that future chats can use.
A good test is to imagine coming back in a month, or handing the work to someone else. Could they pick it up from the project sources alone, without scrolling through old chats? If yes, you have built something reusable. If not, save the final version, the material it was based on and a line about the next step.
Sharing a project
Project sharing is available on all plans, Free included. Select Share and invite people with one of two levels:
- Chat access: they can use the project's chats, files and instructions, but cannot invite others.
- Edit access: they can also change instructions, add or remove files and invite people.
Owners can also turn on "Anyone with a link", which lets any signed-in ChatGPT user with the link join. Two things worth knowing before you share:
- Shared projects use project-only memory. They cannot see anyone's memories or context from outside the project.
- Deleting a file in a shared project removes it for everyone.
For personal accounts, OpenAI says shared project data is used to improve its models only when the owner and every contributor have the "Improve the model for everyone" setting turned on. Even so, do not upload clients' personal data, contracts you are not allowed to share, or passwords to a personal account.
How to save a ChatGPT conversation
Four options, from one chat to everything:
| You want to | Do this |
| Keep one good answer for later | in a project, use Add to project sources; anywhere, copy it into a document |
| Send one conversation to someone | select Share on the chat to create a link; people with the link see only that chat |
| Save one conversation as a file | open the chat in a browser and use Print, then "Save as PDF"; or copy the text into Word or Google Docs |
| Keep your whole history | request a full export (below) |
Shared links are deleted if you delete the original conversation or your account, so a link is not a backup. If something matters, keep a copy as a file.
Export your full ChatGPT history
On ChatGPT Free, Go, Plus and Pro, according to OpenAI's help page:
- Sign in on the web and open your profile menu.
- Go to Settings, then Data controls.
- Under Export data, select Export, then Confirm export.
- Wait for an email or text message. Exports can take up to 7 days.
- Download the ZIP file. The link expires 24 hours after you receive it, and you need to be signed in to the same account.
The ZIP contains your chat history and other account data, so keep it somewhere secure. An export cannot bring back chats you have already deleted. Business, Enterprise and Healthcare workspaces do not have self-service export; ask your workspace owner.
Do this before you delete chats in bulk, change accounts or move a personal account into a company workspace.
Common problems
- "I can't see Move to project." The chat may not be eligible, for example a chat started with a custom GPT. Start a new chat inside the project and paste what you need.
- "It ignored my instructions." Check that you are chatting inside the project, not in an ordinary chat. Shorten the instructions and put the most important rule first.
- "My project disappeared after I left a shared project." When you leave a shared project you are offered a copy of your chats; if you skipped it, ask the owner to re-invite you.
- "I deleted a project by mistake." Deleting a project removes its chats, instructions and files stored only in the project, and cannot be undone. Keep important outputs as files outside ChatGPT too.
The money math
The value of a project is the time you no longer spend re-explaining. If a project saves you five minutes of setup on each of 15 tasks a week, that is about five hours a month. At $30 an hour, roughly $150 of your time, for something that costs nothing on the free plan. For a freelancer billing per job, it also means more consistent work with less editing, which is the difference between a client who stays and one who drifts.
